Executive Assistant to the Chief Executive Officer

About the Role

Crosslinks is seeking an experienced and highly organised Executive Assistant to the Chief Executive Officer (CEO) to provide high-level executive, governance and organisational support. This is a part-time position spread across three days a week with flexibility of your working days. 

This is a key role that works closely with and reports directly to the CEO. It goes beyond traditional administration, supporting the CEO, Board and leadership team with the information, coordination and structure needed to make informed decisions and lead the organisation effectively.

The successful candidate will be a trusted and proactive professional who can work confidently with the CEO, Chair, Directors, senior leaders and external stakeholders.

Key responsibilities include:

Executive & CEO Support

  • Provide proactive day-to-day executive support to the CEO.
  • Assist the CEO to stay across organisational priorities, key actions, deadlines and emerging issues.
  • Prepare and coordinate briefing materials, reports, correspondence and information required for meetings and decision-making.
  • Coordinate the flow of information and actions across the organisation.
  • Follow up key actions and ensure important matters remain on track.
  • Build strong relationships across the organisation and act as a trusted point of coordination.

Board & Committee Support

  • Coordinate annual Board and committee calendars and meeting schedules.
  • Prepare and distribute agendas, Board papers and supporting documentation in consultation with the CEO, Chair and relevant stakeholders.
  • Attend meetings and produce accurate, clear and professional minutes.
  • Maintain resolutions, action registers and follow-up requirements.
  • Manage Board and governance documentation through the organisation's Board portal.
  • Support Director induction and onboarding.
  • Coordinate committee workplans, papers, actions and recommendations.
  • Maintain committee membership and governance records.

Governance & Compliance

  • Maintain governance policies, registers and review schedules.
  • Support organisational governance, compliance and reporting obligations.
  • Maintain Board registers, declarations and governance records.
  • Assist with governance reviews and Board evaluation activities.
  • Support the organisation to maintain strong governance practices and meet regulatory requirements.
  • Coordinate Annual General Meeting (AGM) preparations and associated documentation.
  • Support the annual strategic planning cycle.

Chair & Director Support

  • Provide professional governance and administrative support to the Chair and Directors.
  • Coordinate communication between the Chair, CEO and Directors.
  • Assist with Director development, induction and governance education.
  • Handle sensitive information with a high level of confidentiality, integrity and discretion.

About You

You will be a confident and experienced professional who understands that effective executive and governance support requires initiative, judgement and attention to detail. The essential skills and experience we are looking for are:

 

  • Demonstrated experience in governance, company secretarial, Board support or senior executive support.
  • Ability to work independently, prioritise competing demands and exercise sound professional judgement.
  • Excellent minute-taking and written communication skills, with the ability to produce accurate and professionally presented Board and committee documentation.
  • Strong understanding of not-for-profit governance, including Board accountability and the legal and ethical responsibilities of Directors.
  • Exceptional organisational skills and attention to detail, particularly when managing Board and committee cycles.
  • Strong stakeholder management skills and the confidence to work with Directors, executives and external stakeholders.
  • High level of integrity, discretion and confidentiality.
  • Strong ability to anticipate needs, identify issues and follow matters through to completion.
  • Proficiency in Microsoft 365, including Word, Excel, Outlook, Teams and SharePoint.
  • Experience using Board portal software such as BoardPro, Diligent or similar.
  • A strong understanding of the NDIS and disability sector, including the importance of participant rights, safety, quality and positive outcomes.

Desirable Experience

  • Knowledge of ACNC Governance Standards and reporting obligations for registered charities.
  • Understanding of the regulatory environment and obligations of registered NDIS providers.
  • Knowledge of disability safeguarding, including reportable incidents, worker screening and the rights of people with disability.
  • Experience working within or supporting risk and compliance frameworks, particularly in a regulated NFP, health or disability environment.
  • Demonstrated experience providing secretariat support to multiple committees.
  • Experience coordinating committee workplans, papers, actions and recommendations.
  • Governance qualifications or professional membership, such as Governance Institute of Australia or Chartered Secretaries Australia.
